record. Record management offers efficiency regarding easy retrieval and the confidence оf the
staff and clients involved with the company (Ismael & Okumus, 2017). In a case, where a
company handles a lot of different customers and works with various staff, there is no better way
of managing the records apart from putting in place the right systems in place. This paper
provides a solution for a better way for businesses to implement an electronic record keeping
mechanism to help them achieve efficiency in their services. We will use the Dona Law Firm for
this discussion.

Donna Law Firm is a company that serves as a consultation organization in Minnesota
with satellite branches in California and Florida. It is a law firm that focuses on worker’s
compensations, railroad industry, retail industry, and general litigation. The company’s objective
is to become a trusted partner in defending its clients and offering consultation services that
focus on the legal needs of businesses.

b) What type of documents do they collect or create, and are they currently paper or
electronic?
The business is a legal company that has varied clients. The documents they receive from
clients include personal information, cases and consultancy documents. However, some of the
records are created within the company which contains agreements. Some of this information
requires a lot of confidentiality and maintain its aspect of atomicity. These include financial
records of clients and contracts. Every client has a different case, and therefore the records
collected are case specific. The business, then, has to keep these records for as long as they can
in case of future reference.
c) How many documents are there and typically how many pages are each document
by type?
The company uses a digital system partly, but most of the work is stored physically in file
cabinets. Most of the organizations are adopting the digital mechanisms of storing the
information. For this case, the company handles the client’s cases and consultation files. These
files range from single-page documents to booklets, including the law reference books. It also
handles client reports and businesses documents. Because the business has drastically changed
over the past few years, the number of clients is continuously increasing and even the number of
attorneys. For now, the company has 14 attorneys who cover their areas of expertise.
d) How many users are there potentially and where are they located?
The company has three branches. Each attorney has its own three assistants. These
attorneys are spread through the branches which means Minnesota becomes the data center and
the other offices can remotely access the information. Clients, visit these company’s

departments. Attorneys also have to visit the company physically to get updates on the cases.

adds efficiency and the ease of accessibility of the records whenever and wherever they are

access his records in Florida. Security and privacy should be the primary concern in that the files
should be able to maintain its original state and accessed by authorized personnel only.
